Privacy Policy

This Privacy Policy explains how DigitalBooking collects, uses, shares, stores, and protects personal data when you use our website, booking platform, and mobile applications.

1. Who We Are

DigitalBooking is operated by TeoPix Creative. In this Privacy Policy, "DigitalBooking", "we", "our", and "us" refer to that entity.

2. Scope of This Policy

This Privacy Policy applies to personal data collected through the DigitalBooking website, hosted booking pages, merchant dashboards, customer communications, and DigitalBooking mobile apps published for iOS and Android.

3. The Roles of Businesses and DigitalBooking

DigitalBooking is a business booking platform. Businesses that use DigitalBooking to accept and manage reservations generally control the booking information they collect from their customers. In many cases, those businesses act as the primary controller of reservation data, and DigitalBooking acts as their service provider or processor.

If you make a reservation with a business using DigitalBooking and want to update, correct, or delete reservation details, you should first contact that business directly. We may assist the business where required.

4. Personal Data We Collect

Depending on how you use DigitalBooking, we may collect the following categories of personal data:

  • Account and identity information, such as name, email address, telephone number, password, job title, and business name.
  • Business profile information, such as venue details, opening hours, services, staff access, booking rules, public booking page content, and branding preferences.
  • Reservation and customer information, such as customer name, contact information, party size, booking date and time, notes, special requests, and booking status history.
  • Payment and billing information, such as billing contact details, subscription plan, transaction records, and limited payment metadata. Card details are typically processed by our payment providers and are not stored by us in full.
  • Device, log, and usage information, such as IP address, browser type, device type, operating system, app version, crash data, diagnostics, and interactions with our services.
  • Notification and communications data, such as email delivery status, push notification tokens, message history, and support correspondence.

5. How We Collect Data

We collect personal data directly from you, from businesses using DigitalBooking, automatically through use of our services, and from service providers involved in payments, hosting, analytics, communications, and authentication.

6. How We Use Personal Data

  • To create and manage accounts and business profiles.
  • To publish and operate booking pages and reservation workflows.
  • To receive, confirm, change, decline, or cancel bookings.
  • To send transactional emails, service messages, reminders, and push notifications.
  • To process subscriptions, invoices, and billing administration.
  • To provide customer support and respond to requests.
  • To monitor performance, investigate incidents, prevent abuse or fraud, and improve the reliability and security of DigitalBooking.
  • To comply with legal, accounting, tax, regulatory, and law enforcement obligations.

7. Legal Bases for Processing

If UK GDPR, EU GDPR, or similar laws apply, we rely on one or more of the following legal bases: performance of a contract, legitimate interests, compliance with legal obligations, and consent where consent is required.

8. How We Share Personal Data

We do not sell personal data. We may share personal data with:

  • Businesses using DigitalBooking, where the data relates to their reservations or account activity.
  • Service providers that help us operate DigitalBooking, such as cloud hosting, analytics, authentication, email delivery, push notification, payment processing, customer support, and security vendors.
  • Professional advisers, auditors, insurers, and corporate affiliates where reasonably necessary.
  • Authorities or other parties where disclosure is required by law, court order, or to protect rights, safety, property, users, or the service.
  • A buyer, investor, or successor entity in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate safeguards.

9. International Transfers

Your personal data may be processed in countries other than your own. Where required by applicable law, we take appropriate steps to protect personal data transferred internationally, including contractual and organisational safeguards.

10. Data Retention

We keep personal data for as long as reasonably necessary to provide the service, maintain records, resolve disputes, enforce agreements, prevent fraud, and comply with legal obligations. Retention periods may vary depending on the type of data, the business relationship, and our legal obligations.

When users request account deletion, we delete or anonymise personal data unless we need to retain certain information for legitimate reasons such as security, fraud prevention, financial recordkeeping, dispute resolution, or compliance with law.

11. Security

We use reasonable technical and organisational safeguards designed to protect personal data, including access controls, role-based permissions, secure transmission over HTTPS, logging, and measures intended to reduce unauthorised access, disclosure, alteration, or destruction. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.

12. Mobile App Permissions and In-App Access

The DigitalBooking mobile apps may request access to certain device features when needed for app functionality. For example:

  • Push notifications, so you can receive real-time booking and account updates.
  • Other permissions only if a feature you choose to use requires them. If additional permissions are introduced in a later release, we will update this Privacy Policy and related store disclosures where required.

You can manage app permissions in your device settings. If a permission is not granted, some features may not function as intended.

13. Your Rights and Choices

Depending on your location, you may have the right to request access to, correction of, deletion of, restriction of, or export of your personal data, and to object to certain processing. You may also have the right to withdraw consent where processing is based on consent.

We may need to verify your identity before completing a request. You may also have the right to complain to a relevant data protection authority.

14. Account Deletion and Data Deletion Requests

If you created a DigitalBooking account, you may request account deletion by using the deletion option made available in the app or account settings, where offered, or by contacting us at support@digitalbooking.uk. If you contact us by email, please include enough information for us to identify the relevant account.

Deleting an account will normally result in deletion of the personal data associated with that account, subject to the retention exceptions described in this Privacy Policy. If you are a customer of a business using DigitalBooking, please contact that business first regarding deletion of your reservation information.

15. Children's Privacy

DigitalBooking is not directed to children under the age of 13, and we do not knowingly collect personal data from children in a manner that requires parental consent under applicable law. If you believe a child has provided personal data to us unlawfully, contact us so we can investigate and take appropriate action.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we may provide notice through the service, the website, or other appropriate channels. The "Last updated" date below shows when this version became effective.
